- Ask for the preferred day, time or stylist
- Check availability in the booking calendar
- Book the slot or offer the nearest alternative
- Hand over anything unusual to the salon team
Simple is good. The first version does not need to answer every question under the sun.
Give the agent the right tools
A voice agent needs more than a friendly voice.
It needs clear instructions and the ability to take useful action.
In the video, I show how to connect the agent to a calendar so it can check availability and book appointments. That is the moment the idea becomes genuinely useful.
Without calendar access, the agent can take a message. With it, the agent can help finish the job.
Keep the prompt clear and human
The prompt is the agent’s playbook.
It should set the tone, explain the services, list the rules and make clear when the agent should ask for help.
Do not write a giant wall of instructions. Start with the most common calls. Add detail when real conversations show you where it is needed.
That keeps the experience natural. It also makes the agent easier to improve.
Test the calls that matter
Do not only test the happy path.
Try the awkward questions too.
- “Can I bring my child?”
- “I need to cancel tomorrow’s colour appointment”
- “Can you fit me in after work?”
- “I do not know which service I need”
Listen for where the agent talks too much, misunderstands the caller or gets stuck. Small fixes here make a big difference once real customers start calling.
The bottom line
An AI receptionist for a hair salon is not about making the business feel less personal.
It is about making sure every caller gets a response while the salon gives great service to the clients already there.
Start with bookings and FAQs. Keep it focused. Test it properly. Then build from there.
