How The Voice AI Company handles information through its website, customer dashboard and services.

1. Who we are

The Voice AI Company is a trading name of Philip Lougher Ltd. For privacy questions or requests, contact us at info@thevoiceaicompany.com.

Philip Lougher Ltd acts as a controller for information used to run its own website, accounts, billing, support and security. When we operate a voice AI service for a customer, that customer will normally be the controller of caller information and Philip Lougher Ltd will act as its processor.

2. Website enquiries

If you contact us or submit an enquiry, we may collect your name, email address, telephone number, business information and the content of your message. We use this information to respond, discuss our services and take steps requested before entering into a contract.

3. Customer accounts and dashboard

For customers and authorised dashboard users, we may process names, work contact details, account credentials, organisation details, billing information, service settings, support communications and security or access records. We use this information to provide and administer the service, secure accounts, communicate with users, process billing and meet legal obligations.

4. Voice AI services

Our services may process caller telephone numbers, call audio, transcripts, summaries, enquiry details, appointment information, addresses and other information provided during a call. We process this information on the business customer's instructions to provide its configured voice agent, dashboard and integrations.

The business receiving or making the call will normally be responsible for its caller privacy notice, lawful basis and retention decisions. Callers should contact that business first to exercise their rights. We will assist the business with relevant requests in accordance with our Data Processing Addendum.

5. Lawful bases

Where we act as controller, we rely on the lawful basis appropriate to the activity. This may include taking steps towards or performing a contract, our legitimate interests in running and securing the business, compliance with legal obligations and consent where required, including for non-essential analytics cookies.

6. Service providers and sharing

We use service providers to operate the website and services. These may include Supabase for databases and authentication, Netlify for application hosting, Retell AI for voice processing, Stripe for payment services, Resend for account emails and Google for analytics where consent is given. Customer-requested integrations may also send limited information to providers such as Google Sheets or an SMS service.

We do not sell personal information. Further information about service sub-processors is included in our Data Processing Addendum.

7. International transfers

Some providers may process information outside the UK. Where a restricted transfer occurs, we use an applicable lawful transfer mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved contractual clauses, as appropriate.

8. Retention

We keep personal information only for as long as needed for the purpose for which it was collected, to provide the service or to meet legal obligations. Retention periods for customer call recordings, transcripts, call metadata and integration outputs are agreed with the relevant customer. Information may be deleted or anonymised when it is no longer required.

9. Security

We use technical and organisational measures designed to protect personal information, including authenticated access, tenant-based access controls, encrypted connections, restricted administrative access and security controls provided by our infrastructure providers. No system can guarantee absolute security.

10. Analytics cookies

With your permission, we use Google Analytics 4 to understand site traffic and how visitors use our pages. Google Analytics may collect pages viewed, approximate location, device and browser information and how visitors reached the site.

You can accept or reject analytics cookies through the banner shown when you first visit. Choosing reject means Google Analytics will not load. You can change your choice by clearing this site's data in your browser and revisiting the site.

11. Your rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to processing, and to receive certain information in a portable format. You may also withdraw consent where processing relies on consent.

To make a request about our own processing, contact us using the email address above. For a call handled on behalf of one of our customers, contact the business responsible for that call. You may also complain to the Information Commissioner's Office at ico.org.uk.
